Ghafari Project Coordinator in Dearborn, Michigan

Job Description:

General Summary: The Project Coordinator will provide administrative support with project documents and utilization. They will assist the Project Manager and/or Lead Architect/Engineer to coordinate the document release schedule and team deliverables. They will be the final check for all outgoing controlled documents. They will be the primary controller of all incoming documents and files.

Essential Job Functions:

  • Coordinate with accounting and marketing for areas that need to be opened on Vantagepoint.

  • Create PIF Form (per Project Manager’s guidance and in conformance with company standards) as applicable

  • Coordinate proposal documentation and incoming addendums from customers on BIM360/ACC, as well as Vantagepoint for accounting/marketing purposes

  • Assist PM on assembling and submitting proposals, inputting information into PB sheet when projects are awarded, coordinating Project Purchase and Change orders in BIM360/ACC

  • Coordinate and manage the Document Release on a Project, as well as the Project Close-out and dead filing (if applicable)

  • Assist and maintain the Design RFI, ASK and other project related logs, making sure they are up-to-date and complete

  • Primary recipient of incoming and outgoing data exchanges on major projects using the transmittal tracking processes.

  • Assist in coordinating project meetings, requests, calendar, Labor Report collections and distribution to project teams.

  • Create project contact sheets, email groups, initial project files and rules for project email correspondence.

  • Act as a liaison with the internal team assigned to maintaining the current state/municipality licensing log.

  • Report any process violations or recommendations from team-to-Team Lead, Lead Project Coordinator, Manager and/or Director of VDC and Quality

  • Assist in the utilization and standardization of Meeting Minutes, Issues and needed reporting of these items.

  • Own and Champion the Document Control Plan and Processes on project working with the Project Management Team.

  • Own and Champion the Document Control Plan and Processes for the Organization working with the Director of Quality.

  • Coordinate Master Drawing Log with Discipline Leads to allow automation tools.

  • Perform other duties as assigned

Employment Qualifications:

Education: Associates degree or higher in a Construction or Quality related field preferred

Experience: 0-2 years in an administrative capacity, preferably in an A/E or Construction firm

Skills/Competencies:

  • Proficient user of Bluebeam, Microsoft Office, especially Excel and Word, Microsoft Teams and BIM360

  • Highly organized

  • Excellent verbal and written communication

  • Great problem solver

  • Good people skills
